Where to use a WhatsApp QR code
A WhatsApp QR code is the shortcut from a physical surface to a chat conversation. Any phone camera scans it and opens WhatsApp with your pre-filled message. The real-world uses that pay for themselves within a week for most Indian D2C brands:
- Shipping insert. Print the QR on the invoice slip or a small card inside every parcel. Repeat buyers scan it instead of searching for your Instagram handle, which they half-remember.
- Product packaging. Direct re-order path for consumables — skincare, spices, coffee, tea, dog treats. "Ran out? Scan to re-order" works better than "visit our website".
- Business card. Replace the LinkedIn QR with your WhatsApp QR. Fewer platforms, more direct.
- Menu card / counter. Food brands at pop-ups, FSSAI-registered home kitchens, cloud kitchens.
- Storefront window. Physical boutique in Bandra or Khan Market: the QR lets passers-by WhatsApp you to ask about a saree they saw inside, even when the store is closed.
- Exhibition stall. Trade show attendees scan instead of handing over phone numbers.
- WhatsApp Status / Instagram story. Yes, you can post a QR image on your own Status. Followers screenshot and scan.
Printing dimensions that actually scan
A QR code must be big enough for the scanner to resolve. The scanning distance drives the minimum size:

Simple rule: the QR should be about 1/10th of the scan distance. Smaller than that and the phone camera cannot resolve the modules.
What makes a bad WhatsApp QR
Mistakes that break the scan or the conversation:
- Printing in light grey or coloured ink on coloured paper. QR codes need high contrast. Black on white or dark on cream only.
- No quiet zone (border). Keep at least 4 modules of white space around the QR. Our generator adds it automatically; some apps strip it.
- Logo in the middle covering too many modules. QR error correction allows a logo of up to ~25% of the area at the "high" correction level. Our tool uses medium correction, so keep logos under 15% of the QR area if adding one in Canva.
- Message too long. A pre-filled message of 100+ characters makes the QR denser and harder to scan at distance. Keep it under 80 characters.
- Number that does not exist on WhatsApp. The scanner opens WhatsApp but the chat fails. Test with your own phone before printing a thousand copies.
Making the QR match your brand
The default black-on-white QR works everywhere. Three brand-friendly upgrades that still scan reliably:
- Replace black with your brand's dark colour (keep at least 70% contrast against the background). Behaf's green #008854 scans fine on white.
- Add a logo in the centre, max 15% of the area, with a white background behind the logo.
- Round the finder-pattern corners if your design system uses rounded shapes. Keep the modules square.
Canva, Figma, and Adobe Illustrator all let you drop in the downloaded PNG and style it. Test every stylisation by scanning before you commit to print.
From scan to shipped order
A QR gets the buyer into a WhatsApp chat. The rest of the funnel decides whether you ship an order or screenshot a UPI confirmation at midnight. For Indian D2C brands shipping 20 to 2,000 orders a month, the gap from "chat opened" to "box packed" is where most of the money gets lost.
